PageCenter will NOT be available when the mainframe goes off line and ConnectND goes live. This means all reports - current and History (archive) - that have been published to PageCenter will NOT be accessible when PageCenter goes away. Starting September 1st please save a copy of your current PageCenter reports to your archiving medium. This will save you from having to play catch up later in the year. Please plan and prepare to have someone in your department or elsewhere save all reports required by the state auditors that are published to PageCenter.
The department that generated the report to PageCenter - owns the report. It is this department that is responsible for keeping the report for record retention purposes. Each department (owners and ones that receive copies of the reports) will need to (1) identify the reports published to PageCenter and if they will need to be retained, (2) the length of time they are required to retain the reports, (3) determine the medium on which they wish to keep the reports (paper, CD, etc.), and (4) how (who) they plan to access and save them out of PageCenter.
Saving VL2 (History - Archived) reports dated 3/25/03 or older is extremely slow. Please do not restore these VL2 reports dated 3/25/03 or older until the upgrade is available. PageCenter is scheduled to be upgraded to the new release levels sometime mid to late September. This should significantly decrease the amount of time required to restore a VL2 report in History. When the upgrade to VPS, PageCenter and PageCenter Web Access has been completed and tested, an announcement that the new version is available will be sent to the PageCenter list.
The recommended medium for saving PageCenter reports is in electronic form to a CD. First save the reports to your own hard-drive or a network drive. A suggestion for storing the reports to your HD is to create a folder (subdirectory) called PageCenter. In the PageCenter folder create a folder for each of the reports you want to save: ie Fund Summary Report, Fund Transaction Report, Payroll, etc. In each specific report folder, create folders for the year of the report: ie 2001, 2002, 2003, etc. Save all the Fund Summary Reports for the year 2001 in the PageCenter/Fund Summary Report/2001 folder.
A suggested naming convention could be FundSummary-July-2001, FundSummary-August-2001, etc. This naming convention and filing system will assist you in immediately identifying and locating a past report. It will also help to find the report if it is accidently stored in a different folder. Store one year of reports on one CD: ie all of 2001 reports will be on one CD. Or store all of one report on one CD: ie all Fund Summary Reports for years 2001, 2002, 2003, etc. are stored on one CD. You may have another method that would work better for you. These are just suggestions.
When you have accumulated approximately 700 MB of saved files on your HD then burn them to a CD. After the CD has been created, immediately retrieve some files from the CD to verify everything is working as it should. You may want to burn one or two additional CDs for record retention purposes; one on site, one off site, etc.
Please review and update your records retention procedure prior to sending reports to PageCenter and in accordance with current state auditors requirements; then maintain the CDs using that updated procedure.
