GroupWise:  Proxy
Establishing Access Rights


Proxy is a very useful feature that lets one user manage another user’s GroupWise account, or act as a proxy for another user’s Mailbox and Calendar.  A proxy can perform various actions as:  reading, accepting, and declining items on behalf of another user within the restriction the other user sets.

If you would like another individual to act as a proxy for you, you must first give that individual user rights in your access list and must also specify the level of rights the proxy will have.

Notes to Remember:

*       Before you can act as someone’s proxy, the person for whom you plan to act as proxy must grant you rights in the Access List and you must add that user’s name to your Proxy List so you can access their Mailbox or Calendar.

*       You can assign different access to different users

*       By removing a user from your Proxy pop-up list does not remove your rights to act as a proxy for that user.  The user who’s Mailbox you access must change your rights in the Access List in Options.

Follow the Procedures Below to Set Up Proxy Access Rights:

From Your GroupWise Client:  Main Window

Select Tools > Options.  Then double-click Security

Make sure the Proxy Access Tab is selected

In the Name field, type the name of the person you want to have Proxy rights; then press Enter or click the Add User button to add the user to the Access List

(You can open the Address Book to select users; double-click on each user name you want to add to your Access List)

Assign the access right you want to give that proxy:

1)       Select a user name in the Access List Box

2)       Select the access right you would like to give that proxy

3)       Select OK; Then Close

No message or notice is given to a user who has been granted proxy rights, and no alert is given telling a user that someone else (proxy) is access the user’s account.

Note:  Proxy rights do not let you view other user’s address books.  They need to share there address books with you.

Follow the Procedures Below to Access Another User’s Mailbox as Proxy:

From Your GroupWise Client:  Main Window

You can select the Proxy Button in the Mail Window or the Calendar Window by selecting the drop-down arrow in the heading area; or select File > Proxy in any window

1)       Select Proxy (The window shown below will appear)

2)       Select the username of the person whose Mailbox you want to access (for the first time for a user; you will need to search for the user from the Address Book)

3)       When you want to return to your own Mailbox; select Proxy again and choose your own username

 

Note #1:  If you receive an alert box that says “Access Denied,” this usually means the person whose information you are attempting to access has not given you rights as a proxy.

Note #2:  Marking an Item “Private” prevents those who have proxy access from viewing the item(s)
